Voice agent

Voice agent is a phone secretary built on our voice system. It answers calls, replies to questions using what it knows about your company, books appointments and collects call-back details. After every call you get a short summary and a full transcript. We configure the whole module for you on our side — you use a ready-made agent and keep an eye on the schedule.

What it's for

  • Who it's for: support, reception and sales teams that don't want to miss a single call.
  • Use it when: callers ask the same things (hours, offer, booking a visit) and you want someone to pick up and take notes even when your team is away.
  • If you'd rather handle questions as text on your website, use the Chatbot module instead.

Info

This is a non-generative module — you don't set the greeting, voice or the agent's skills yourself. WebImpact prepares and tunes everything, and you send change requests to us.

Before you start

  • Permissions: a role that can use services (member and up). Confirming appointments needs a role with approval rights.
  • Module enabled: "Voice agent" must be active for your company.
  • For the test call: a browser with a microphone and permission to use it.

How to use the module

  1. Open Voice from your company menu and stay on the Overview tab. You'll see the current settings and whether the agent is active — greeting, voice, languages and skills (booking appointments, gathering contacts, opening hours, handing off to a human). WebImpact sets all of this; you send change requests to us.
  2. Start a test call in your browser — speak into the microphone as a caller would. On screen you see, in real time, what the agent heard and what it replied. We connect a real phone number in the next step.
  3. Go to the Calls tab. For each call you'll see the date, direction, duration, outcome and a short summary — including test calls. The entry appears with about a minute's delay.
  4. Open the call details to see the summary, the full transcript of both sides and the collected data (e.g. name, phone, reason). Real calls may include a recording if we enabled it for you; test calls are never recorded.
  5. Check the Schedule tab. Appointments arranged during a call land here as pending — someone with approval rights confirms or cancels them. You can also add a visit manually. Colours show the status.

Module tabs

  • Overview — current settings, agent status and the in-browser test call.
  • Calls — a list of calls with date, direction, duration, outcome and summary; details with the full transcript and collected data.
  • Schedule — appointments arranged during calls (pending confirmation) plus entries you add manually.

Limits and notes

  • Monthly limit: minutes from real calls count towards your company's monthly limit.
  • Test calls: free and don't reduce the limit.
  • Recordings: available only when we've enabled them for you; test calls are never recorded.
  • Personal data: transcripts, summaries and collected contacts are subject to GDPR rules.
