HR panel
The HR panel replaces the hours spreadsheet and leave requests by e-mail. You enter hours worked day by day, request leave in a few clicks, and the balance works itself out. The tabs at the top walk through the parts: timesheet, leave, calendar and — if you have the rights — approvals and employees. The rules (leave allowance, working hours, working days, public holidays) are set up for you on our side.
What it's for
- Who it's for: your whole team — to log working time and request leave; managers — to approve requests and maintain employee settings.
- Use it when: you want hours and absences in one place, without spreadsheets or e-mails, with working days and leave balances counted automatically.
- If you run trainers' schedules and client attendance rather than team working time, use Training studio instead.
Info
This is a non-generation module — there's nothing here to "generate". Your company rules (leave allowance, working hours, working days, holidays, approval gate) are prepared by WebImpact; you send change requests to us.
Before you start
- Permissions: viewing the panel — a role that can view the workspace. Logging hours and requesting leave — a role that can use services (member and up). Approving requests — a role that can approve. Employee and balance settings — a role that manages the team.
- Module enabled: "HR panel" must be active for your company. If it's not in the menu, contact your WebImpact manager.
- Nothing to upload: you enter data in the panel (hours, date ranges). The system already knows holidays and days off.
How to use the module
- Open the HR panel from your company menu. The tabs at the top adapt to your role — approvals and employees only appear with the right permissions.
- In the Timesheet tab, enter the number of hours worked for each day. Weekends and public holidays are recognised automatically — you never mark or subtract them.
- In the Leave tab, pick the type of absence and a date range, and the system counts the working days (weekends and holidays don't eat into your allowance). The request goes to whoever approves it.
- In the Calendar tab, you see a monthly view of the whole team's absences — easy to spot in advance the weeks when several people plan time off.
- Your leave balance is worked out automatically: this year's allowance plus days carried over from last year, minus what's been used. Cancelling an approved request returns the days to the balance.
- If you can approve, the Approvals tab lets you approve or reject the team's requests. If you manage the team, the Employees tab is where you set individual terms.
Wskazówka
First time here? Launch the Tour (the "?" button in the panel) — it walks the screen step by step. This page covers what the Tour doesn't: roles, tabs and troubleshooting.
Module tabs
| Tab | What it does | Who sees it |
|---|---|---|
| Timesheet | Enter hours day by day; weekends and holidays recognised automatically | member and up |
| Leave | Request absence (type + date range); working days counted for you | member and up |
| Calendar | Monthly view of the whole team's absences | member and up |
| Balance | Remaining leave: allowance + carried over − used | member and up |
| Approvals | Requests waiting for a decision; approve or reject | a role that can approve |
| Employees | Working hours, start date, individual allowance | a role that manages the team |
What we set up for you
| Item | What it means |
|---|---|
| Leave allowance | The default number of leave days per year for the company |
| Working hours and days | The standard working day and which weekdays count as working |
| Holidays | Public holidays the system skips when counting |
| Approval gate | Whether requests need approval and who decides |
| Carry-over | How many unused days roll into the next year |
Limits and notes
- Working days are the basis: leave is always counted in working days — weekends and holidays never reduce your allowance.
- Balance symmetry: approving a request takes the days off the balance straight away, rejecting leaves it untouched; cancelling an approved request gives the days back.
- Your own request: you can't approve your own request — someone else with approval rights decides.
- Individual settings: people without their own terms use the company defaults.
- Personal data: time entries and leave requests are subject to GDPR rules.
Common problems
| Symptom | Cause | What to do |
|---|---|---|
| I don't see the "Approvals" or "Employees" tab | You don't have the right role | Ask your WebImpact manager to grant approval or team-management rights |
| I can't approve my own leave | You can't approve your own request | Ask another person with approval rights to decide |
| The leave balance doesn't add up | Approved requests and carried-over days affect the result | Check the "Balance" tab — it shows allowance, carried over and used separately |
| Module not in the menu | Service not active for the company | Ask WebImpact to enable the "HR panel" |
