Training studio
The training studio keeps your clients, their packages, every trainer's schedule and attendance in one place. Instead of paper attendance sheets you get a card for each client, a shared calendar and reports that stay with you. It's a module for running the studio day to day, not for generating content — nothing "renders" in the background here; you simply manage clients and sessions.
What it's for
- Who it's for: training studios, clubs and personal trainers who want clients, packages and the schedule in one panel.
- Use it when: you book recurring sessions, settle packages by the number of trainings, and want to see attendance and expiring packages at a glance.
- If you want to track team working hours and leave instead, use the HR panel.
Info
A trainer sees only their own clients and schedule. Owners and managers see the whole studio — every trainer, every session and all reports.
Before you start
- Permissions: a role that can use services (member and up) manages clients, sessions and attendance. Managing the team and full reports belong to managers and owners.
- Module enabled: "Training studio" must be active for your company. If it's not in the menu, contact your WebImpact manager.
- What we prepare: ready-made package options tailored to your business — usually you just pick the right one and save, with no typing from scratch.
How to run a client and sessions
- Open Training studio from your company menu. The tabs at the top walk through the parts: dashboard, calendar, clients, attendance and reports.
- In the Clients tab, create or open a client card — contact details, training goals, health notes and your own notes. One note can be pinned so it always stays in view. Search the list by name, phone or email.
- On the client card, add a package: the number of sessions, an expiry date and an optional price. Without an active package with sessions left, no training can be booked.
- In the Calendar, plan a session — a day, week or month view with every trainer, which you can narrow to a single one. Drag a session to another time or day, and copy a recurring week onto the next one.
- In Attendance, mark the session status: attended, no-show, cancelled or rescheduled. Marking it attended deducts a session from the active package; undoing the status gives it back. While marking it, you can ask the client to sign on screen with a finger.
- Check the Dashboard for today's sessions and what needs attention, and the Reports tab for a day, week or month summary.
Wskazówka
First time here? Launch the Tour (the "?" button in the panel) — it walks the screen step by step. This page covers what the Tour doesn't: every tab, limits and troubleshooting.
Module tabs
| Tab | What it does |
|---|---|
| Dashboard | Today's sessions, trainings already completed, active client count, and a ready call list: packages running out or expiring and clients with no next session booked |
| Calendar | The shared schedule for every trainer (day/week/month); drag sessions and copy a recurring week |
| Clients | Client cards: contact, goals, health notes, notes, packages and session history; search by name, phone or email |
| Attendance | Marking session status and the client signature; attended deducts a session from the package, undoing gives it back |
| Reports | A day, week or month summary; download the figures as a CSV file for Excel |
Limits and notes
- Package before session: you can't book a training without an active package that has sessions left.
- Locked statuses: attended and no-show sessions are locked — reset the status to change the date.
- Visibility: a trainer sees only their own clients and schedule; managers and owners get the full studio view.
- History stays: notes and the signature stay in the client's history; a report downloads as a CSV file you can open in Excel.
Common problems
| Symptom | Cause | What to do |
|---|---|---|
| Can't book a training | The client has no active package with sessions left | Add a package on the client card and book the session again |
| Can't move a booking | The session is attended or no-show (locked) | Reset the status in Attendance, then change the date |
| The session didn't return to the package | The status is still marked attended | Undo the attended mark — the session returns to the active package |
| I only see some clients | The trainer role shows only your own clients | Ask a manager or owner for the full studio view |
| Module not in the menu | Service not active for the company | Ask WebImpact to enable "Training studio" |
