Training studio

The training studio keeps your clients, their packages, every trainer's schedule and attendance in one place. Instead of paper attendance sheets you get a card for each client, a shared calendar and reports that stay with you. It's a module for running the studio day to day, not for generating content — nothing "renders" in the background here; you simply manage clients and sessions.

What it's for

  • Who it's for: training studios, clubs and personal trainers who want clients, packages and the schedule in one panel.
  • Use it when: you book recurring sessions, settle packages by the number of trainings, and want to see attendance and expiring packages at a glance.
  • If you want to track team working hours and leave instead, use the HR panel.

Info

A trainer sees only their own clients and schedule. Owners and managers see the whole studio — every trainer, every session and all reports.

Before you start

  • Permissions: a role that can use services (member and up) manages clients, sessions and attendance. Managing the team and full reports belong to managers and owners.
  • Module enabled: "Training studio" must be active for your company. If it's not in the menu, contact your WebImpact manager.
  • What we prepare: ready-made package options tailored to your business — usually you just pick the right one and save, with no typing from scratch.

How to run a client and sessions

  1. Open Training studio from your company menu. The tabs at the top walk through the parts: dashboard, calendar, clients, attendance and reports.
  2. In the Clients tab, create or open a client card — contact details, training goals, health notes and your own notes. One note can be pinned so it always stays in view. Search the list by name, phone or email.
  3. On the client card, add a package: the number of sessions, an expiry date and an optional price. Without an active package with sessions left, no training can be booked.
  4. In the Calendar, plan a session — a day, week or month view with every trainer, which you can narrow to a single one. Drag a session to another time or day, and copy a recurring week onto the next one.
  5. In Attendance, mark the session status: attended, no-show, cancelled or rescheduled. Marking it attended deducts a session from the active package; undoing the status gives it back. While marking it, you can ask the client to sign on screen with a finger.
  6. Check the Dashboard for today's sessions and what needs attention, and the Reports tab for a day, week or month summary.

Limits and notes

  • Package before session: you can't book a training without an active package that has sessions left.
  • Locked statuses: attended and no-show sessions are locked — reset the status to change the date.
  • Visibility: a trainer sees only their own clients and schedule; managers and owners get the full studio view.
  • History stays: notes and the signature stay in the client's history; a report downloads as a CSV file you can open in Excel.
